Operations Manager

Position Summary

NewMed is seeking a highly organized, detail-oriented, and proactive Operations Manager to support the day-to-day operational, administrative, and project management functions of the organization.

The Operations Manager will work closely with the Director of Operations and the CEO, and various internal teams to ensure effective workflow, operational efficiency, and smooth execution of ongoing initiatives. This role requires excellent coordination skills, strong communication, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a problem-solver with a strong sense of ownership and a commitment to supporting NewMed's mission and organizational growth.

Key Responsibilities
Operational Management
  • Oversee daily operations and ensure workflows, processes, and systems run efficiently.
  • Develop and maintain operational procedures, SOPs, and internal documentation.
  • Monitor operational performance and recommend improvements to enhance efficiency.
Project Coordination
  • Support the planning, execution, and monitoring of NewMed projects, including digital media, content development, and marketing initiatives.
  • Coordinate with cross-functional teams to ensure timely delivery of tasks and project milestones.
  • Track project timelines, deliverables, narrative reports, and budgets to ensure compliance with organizational objectives.
  • Prepare periodic project updates and reports for senior leadership.
Team Coordination & Support
  • Serve as a primary point of contact for internal teams, helping manage schedules, meetings, and communication.
  • Support onboarding of new staff, interns, or contractors and assist with resource allocation.
  • Ensure smooth coordination between operational, creative, and technical teams.
Administrative & Compliance Support
  • Maintain organizational files, databases, and documentation.
  • Assist in ensuring compliance with internal policies, contractual requirements, and partner expectations.
  • Support procurement, vendor coordination, and contract management as needed.
Communication & Reporting
  • Draft operational correspondence, meeting minutes, and internal memos.
  • Assist in preparing operational dashboards, reports, and presentations for leadership and partners.
  • Ensure timely communication across departments and with external partners when required.
Qualifications & Skills
  • Education: Bachelor’s degree in Business Administration, Management, Health Management, Communications, or a related field.
  • Experience: Minimum of 2-3 years of experience in operations, project management, nonprofit management, or similar roles.
  • Experience in digital media, marketing, or content development environments is an asset.
  • Strong organizational and multitasking capabilities with high attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in project management tools (e.g., Asana, Trello, Monday.com) is preferred.
  • High attention to detail with strong analytical and problem-solving abilities.
  • Ability to work independently and collaboratively in a dynamic environment.
  • Professionalism, discretion, and a strong sense of responsibility.
Working Conditions
  • Flexible work environment with hybrid and mostly remote option.
  • Occasional meetings outside regular business hours may be required based on project timelines.
